Job Overview:

We are looking for an adaptable, cheerful Office Assistant who can handle a variety of administrative duties while assisting wherever needed. In this role, you’ll mirror the team’s dynamic nature, stepping in to support both routine and urgent tasks. This position requires a thick-skinned candidate who can manage constructive feedback and adapt to a fast-paced environment with resilience.

What You’ll Be Doing:

  • Responsible for manning the front desk, serving as the initial point of contact for visitors, clients, and employees
  • Handle various office management duties such as ordering office supplies, maintaining cleanliness by emptying the dishwasher and keeping the office tidy, as well as managing snack orders
  • Accounting Support: Scan accounting-related items and forward them to the accounting team for processing
  • Sort through daily mail, organize, distribute, and forward to the appropriate individual
  • Provide administrative assistance to the Office Manager and various members of the family; including scheduling appointments, managing calendars, and handling correspondence
  • Assist different roles and individuals within the office, including supporting family members and leadership personnel
  • Assist in coordinating travel arrangements, primarily focusing on flight coordination
  • Document Management: Compile cohesive and confidential documents as required, ensuring accuracy and confidentiality
  • Manage IT ticket submissions and resolve IT-related issues. Take responsibility for handling all IT matters, those requested by members in the office

What We’re Looking For:

  • Prior experience in an administrative role
  • Understanding of small family investment office operations is a plus
  • Strong organizational skills, with an ability to prioritize tasks and meet deadlines
  • Ability to handle constructive criticism with resilience and maintain a positive attitude
  • Excellent communication and interpersonal skills, with a collaborative approach
  • Positive and cheerful attitude, with a team-first mindset
  • Proficiency in Microsoft Office Suite and general comfort with office technology
