Property Management Assistant needed in Santa Barbara

Pay Range: $26 - $27/hour

Employment Term: Temp-to-Hire

Schedule: Monday - Friday from 8am - 5pm

Essential Duties and Responsibilities:

• Master calendaring for property management department
• Resident Correspondence
• Commercial Lease Administration
• Commercial tenant insurance tracking
• Rental trend updates & obtaining commercial lease comps
• Security deposit reconciliations, tracking, and dispute handling
• Resident Charge dispute correspondence
• Backup maintenance department phones
• Backup front office phones
• Preparation and distribution of Meeting Agendas and Minutes
• Preparing Bid presentations
• New property take over letters to residents, utility companies, vendors, create computer and physical files.
• Semi Annual (interior and exterior) inspection tracking and scheduling
• Follow up letter re: maintenance to be done after semi annual and entering work orders
• Review Supervisor comments regarding ICR and send follow up to residents and enter work orders
• Assist supervisor in pulling together information relative to owner statements and
• tenant ledgers to help answer owner and tenant questions
• Move out letters via certified mail using mail machine
• Deposit rec tracking
• Administering Lease Expiration Reports and Rent Review calendar
• Creating Rent increase letters and entering increase data
• Schedule Clean & Show for utilities during moveouts and Turnover
• Assist during turnover with data entry and misc. office duties
• All other duties as required by Supervisor

• Ability to handle multiple tasks
• Strong Customer Service Skills
• Microsoft Office proficiency
• Strong form and freelance writing skills
• Excel spreadsheet skills
• Organizational skills
• Ability to work cooperatively with others
• AppFolio and PM experienced preferred
