Job Description

Title : Procurement Aide II at 📍 Wilmington, NC.

🕒 Schedule: Monday – Friday, 8:00 AM – 5:00 PM (Overtime as needed, with manager approval)

Position Summary

The Procurement Aide II will be responsible for supporting procurement operations and optimizing activities that ensure the timely delivery of MRO parts to production groups at the Wilmington, NC plant. This role involves supplier documentation management, storeroom support, invoice resolution, international shipping assistance, repair process tracking, and inventory management.

The ideal candidate will have strong supply chain experience, advanced Excel skills (pivot tables, VLOOKUP, formulas), and experience with PeopleSoft , along with excellent organizational, problem-solving, and communication abilities.

Key Responsibilities

Procurement Support

  • Manage supplier documentation, including non-disclosure agreements and certificates of insurance for 900+ suppliers.
  • Process 5–10 new supplier additions annually and 300+ supplier change requests.
  • Maintain and clean up PeopleSoft part records.
  • Review and resolve stock-out part sheets.

Storeroom & Inventory Management

  • Provide back-up support for MRO replenishment activities.
  • Monitor order confirmations, resolve purchase price variances, and close purchase orders.
  • Conduct daily cycle counts and raw material counts (coatings, inks).
  • Relocate and organize inventory to improve flow and cycle count accuracy.
  • Perform bin-to-bin transfers and adjustments as needed.

Invoice & Repair Resolution

  • Facilitate invoice issue resolution for procurement and plant production parts.
  • Guide Wilmington Plant PeopleSoft users in resolving invoice-related concerns.
  • Investigate repairs returned to storeroom and track repair progress against inventory and purchase orders.
  • Prepare shipping memos and arrange repairs for return to suppliers.

International Shipments

  • Prepare documentation and shipping memos for international shipments.
  • Pull and prepare parts from the storeroom for outbound shipments.

Required Skills & Qualifications

  • Supply Chain / Procurement experience (MRO preferred).
  • Advanced Excel skills – pivot tables, VLOOKUP, formulas.
  • Experience with PeopleSoft or similar ERP system.
  • Strong organizational and multitasking skills.
  • Effective conflict management, problem-solving, and decision-making.
  • Excellent interpersonal communication; able to collaborate with internal teams and external suppliers.
  • Knowledge of fundamental inventory control procedures .
  • Ability to manage proprietary drawings and parts with confidentiality.
  • Self-starter with proactive management skills; adaptable to shifting priorities.

Preferred Education

  • Associate degree or higher in Supply Chain, Business, or related field (preferred, not required with equivalent work experience).
