Job Summary

Xponential Fitness is seeking a detail-oriented and proactive Franchise Administration Specialist to support the onboarding of new franchisees and preparation of new franchise agreements. This role serves as a critical liaison between internal teams (Legal, Real Estate, Marketing, Finance, Executive and Brand Leadership) and external stakeholders to ensure all required steps are completed accurately, efficiently, and in compliance with company policies and standard operating procedures. The successful candidate will ensure a seamless experience across all parties and have a positive impact on overall brand performance while managing this process.

Job Responsibilities

  • Act as the central liaison between Franchisees and internal teams overseeing document production process for new franchise locations
  • Coordinate timely communications and task completion across departments (Legal, Finance, Brand teams, etc.)
  • Track milestones and ensure deadlines are met in accordance with the SOP
  • Maintain accurate records, documentation, and status updates throughout each stage
  • Identify and escalate compliance risks or process bottlenecks as needed
  • Partner with the Legal team to create, review, and finalize Franchise Agreements
  • Contribute to the development and refinement of SOPs and internal workflows for new franchise
  • Provide weekly reporting to leadership on active cases, pending items, and next steps

Salary Range: $70,000 - $80,000

Qualifications

  • 2+ years of experience in franchising or franchise operations
  • Experience managing the process for document production, collection, and preparation of official franchise agreement
  • PMO experience
  • Strong attention to detail and ability to manage multiple projects simultaneously
  • Excellent interpersonal and written communication skills
  • Familiarity with ClubReady, MindBody, or similar MMS system
  • Prior experience with ZoHo or FranConnect is a plus
  • Proven ability to collaborate cross-functionally and drive tasks to completion
  • Familiarity with legal agreements, SOPs, and internal business processes
  • Proficient in Microsoft Office Suite and Google Workspace; experience with project management tools a plus
