THE GIST:

Our client, a mission-driven biotech company, seeks a expert Executive Assistant to support their CEO. This role will assume comprehensive administrative responsibilities, handle a high-volume of sensitive & confidential information, and regularly interact with important stakeholders & board members. The ideal candidate has previously supported a CEO, ideally out of publicly traded/mid to large tech or biotech company.

THE NITTY GRITTY:

  • Strategically manage CEO's complex calendars & schedule appointments
  • Develop keen intuition for how to best gatekeep executive’s time and prioritize accordingly
  • Schedule & coordinate board meetings, both quarterly and as needed with short notice
  • Coordinate international & domestic travel, arrange accommodations, and prepare itineraries
  • Monitor & manage inboxes with discretion, professionalism, and urgency
  • Create meeting presentations, develop agendas, and produce deliverables
  • Interact with prominent stakeholders with top-tier service & responsiveness
  • Process expenses
  • Maintain records, databases, and contact lists
  • Assist with other administrative functions and ad hoc projects, as needed

THE ESSENTIALS:

  • 10+ years of experience as an Executive Assistant
  • Must have experience supporting a CEO, ideally at publicly traded or mid to large sized company
  • Experience in tech and/or biotech highly preferred
  • Impeccable judgement and discretion
  • Accessible and available to work outside traditional business hours when needed
  • Polished and professional communication style
  • Ability to collaborate and interact effectively within all levels of an organization
  • Stellar time management skills
  • Proactive approach to opportunities & challenges
  • Proficient in Microsoft Office
